This handbook is poised to revolutionise the management and promotion of access to research infrastructures (RIs).

The Unite! European Alliance proudly announced the release of its ground-breaking “Handbook for Effective Access Management of Research Infrastructures: Insights, Strategies, and Best Practices” on June 30, 2023. 


A Comprehensive Resource for the RI Community 

The “Handbook for Effective Access Management of Research Infrastructures” stands as a one-of-a-kind resource designed to cater to a broad audience, including policy makers, RI managers, researchers, and stakeholders. It incorporates diverse materials, including a survey-based study, interview-based analysis, a transparent pricing methodology, the Aalto University open access policy, a template agreement of use of RI, and the insightful description of key roles in opening infrastructures to external users. This integration creates a comprehensive resource that offers invaluable strategies and best practices in research infrastructure management. 

Key Insights from Survey-Based Study 

One of the handbook's pillars is its survey-based study, which received responses from 57 RI managers across the Unite! Alliance. This study revealed several key recommendations for effective access management, including the need for transparent criteria, adherence to FAIR principles (Findable, Accessible, Interoperable, and Reusable), robust data preservation, enhanced collaboration, and a continuous improvement mindset. These findings provide essential guidance for refining operations, enhancing access procedures, strengthening support mechanisms, and ensuring long-term sustainability. 

Unlocking RI Manager Experience Through Interviews 

Complementing the survey-based study, the handbook's interview-based analysis draws on the insights of 13 experienced Unite! RI managers who have a wealth of knowledge in hosting external users. The interviews offer practical best practices, insights into overcoming challenges, and valuable lessons learned. A standout recommendation from this section underscores the importance of dedicated staff for user assistance and training, recognising their pivotal role in ensuring a positive user experience. 

Promoting Transparent Pricing Methodology 

The handbook highlights the significance of developing a transparent, fair, and controlled pricing methodology for external RI users. Such a methodology not only promotes internal collaboration but also facilitates external promotion and contributes to the overall sustainability of RIs. The handbook suggests that infrastructures define the pricing elements to enhance network utilisation, ensuring financial viability. 

Aalto University's Open Access Policy 

Aalto University's open access policy for RIs is featured prominently, illustrating the importance of non-discriminatory open access for academics. The policy provides clear guidelines on external use, pricing principles, intellectual property rights, data policies, acknowledgement requirements, and training prerequisites. It encourages open and FAIR data practices while emphasising the importance of appropriate acknowledgement, striking a balance between internal and external access. 

A Collaborative Agreement of Use 

The handbook includes a template Agreement of Use of Research Infrastructure, developed by legal experts from Unite!'s current 9 partner higher education institutions (HEIs). This agreement outlines the rights and responsibilities of users and the RI, ensuring transparency and legal compliance, and serves as a valuable reference for managing legal and contractual aspects. 

Showcasing Key Roles in RI Access 

Detailed descriptions of the roles of Meritxell Vinyas Clos (UPC) and Mikko Mikkola (Aalto) highlight the importance of dedicated personnel in facilitating access, training, and support for external users. These descriptions provide specific examples and best practices, showcasing the role of collaboration and stakeholder engagement. 

Charting a New Course in RI Access Management 

In conclusion, the “Handbook for Effective Access Management of Research Infrastructures” has charted a new course in RI access management, providing practical recommendations and real-world insights. It emphasises the importance of effective management and open access principles in research infrastructures, ultimately contributing to enhanced accessibility, effectiveness, and impact.
